Health club management software systems have become integral to the
operation of many health club chains. They facilitate the flow of
information and streamline the fitness management process. However, they
are not complete. Though some information from company documents such as
member lists, dues information, contacts, etc., are recorded in the
system, the actual, physical documents themselves often remain hidden.
This lack of easy access to documents poses a significant problem, as
employees are not able to quickly address member inquiries. Documents
are the health club’s backbone. They maintain its organizational shape
and facilitate its organizational control. Traditionally, documents are
kept in physical file cabinets and manually accessed depending on
organizational needs. As the health club grows, however, expanding and
opening up new gyms, the volume of documents grows with it. Soon the
routine retrieval of documents becomes a considerable organizational
cost. Documents are lost and employees that could be directly driving
